Agree on the requirements first
Write down the job the vendor must support, who will use the product or service, and which requirements are essential. Separate must-haves from preferences before reading persuasive feature pages.
Use the same evaluation scope for each candidate. The team size, location, edition, deployment model, and time horizon can materially change both cost and fit. Record those assumptions at the top of the comparison.
Attach evidence to every important cell
For each requirement, record the vendor’s stated capability, source link, applicable edition, date, and remaining question. A blank cell should mean unknown, not a failing score.
Compare public documentation with relevant implementation accounts. If a vendor lists an integration but a review describes restrictions, first check whether both sources refer to the same plan and period.
Distinguish claims from verification
A vendor statement can establish what the vendor claims. It does not automatically verify the experience, support quality, or security posture in your environment. Keep those distinctions visible for the people reviewing the comparison.
A detailed review can identify useful questions without proving that your team will experience the same problem. Look for conditions: the size of the rollout, integration path, and length of use.
Keep tradeoffs visible when scoring
If you use weights, define them before seeing the final scores and explain what each score means. Do not give precise numerical ratings to questions for which the evidence is missing. A total score can hide a failed essential requirement.
Include implementation effort, support, switching costs, and operational constraints alongside price. Confirm current commercial terms with the provider when you approach a purchase decision.
Produce a shortlist with open questions
A useful output names the candidate that best fits the documented requirements, the tradeoffs, and the unresolved questions that could change the recommendation. Retain the evidence so another reader can challenge the reasoning.
